Task · Part-145
Plan and run training events
Every course is a small logistics project: the right people, a room, a trainer, invitations out, changes handled, attendance and results recorded.

[illustration] A circular event lifecycle
A circular event lifecycle: derive participants → schedule → invite → run → record → close, drawn as one loop with small automation sparks at each transition.
BildvorschlagThe training manager keeps a rolling calendar of events alive: deriving who must attend, fixing dates and rooms, briefing trainers, inviting participants, absorbing the constant churn of shifts and sick days, recording attendance and results, and closing each course with feedback and documentation.
None of it is difficult — all of it is volume. And every manual pass (the invitation list, the change email, the attendance sheet) is where names and records slip.
Where it eats time today
Participant lists by hand
Deriving who's due from separate lists, then maintaining every change manually.
Communication churn
Invitations, reminders, reschedules — each a hand-written email, times every participant.
The paper trail after the course
Attendance sheets and results typed up afterwards, feedback collected never or late.
How it works in cimoio.aero
-
The event fills itself
A course is created against the requirement: the system proposes exactly the people who are due, with room, trainer and capacity managed on the event.

BildvorschlagCommunication runs on templates
Invitations, reminders, reschedules and confirmations go out automatically from templates; responses and changes are tracked on the event, not in inboxes.
-
Attendance closes the loop
Attendance and results are recorded digitally at the event; completions feed the participants' qualifications immediately, feedback forms go out at close, and the course file is complete the moment the room empties.

The challenges behind this task
-
Coordination overload with training providers
Every external course means the same loop: send the participants, chase the confirmations, handle the changes, collect the certificates. Multiply by every course, all year.
-
Training costs keep rising
Recurrent trainings multiply, budgets don't. And when nobody can tell exactly who needs which course, the safe answer is expensive: send everyone to everything.
More tasks
-
Procure external trainings
Type courses, specialist trainings, short-notice seats: buying training well means knowing the providers, comparing real offers — and moving fast when the need is urgent.
-
Run online trainings and record results
Internal trainings — continuation content, procedures, safety briefings — don't need a classroom day. They need a platform that delivers, tracks and evidences them.
-
Archive and retrieve certificates
Certificates are the evidence layer of the whole system. Accepting them correctly, filing them findably and retaining them lawfully is daily work — retrieval on demand is the test.
