Task · Part-145

Notify staff about expiring qualifications

Everyone with a stake — the employee, their supervisor, the training team — has to know an expiry is coming while there's still time to act.

The work behind it

Monitoring validity dates is permanent background work: watching hundreds of running clocks, deciding when to warn whom, and following up until the renewal actually happens. Miss one, and the consequence isn't a late email — it's a lapsed qualification and, behind it, an authorization at risk.

Done manually, it's calendar reminders, filtered spreadsheets and chase-up mails — the definition of work a system should do.

Where it eats time today

Hundreds of clocks, one pair of eyes

Manual monitoring depends on someone looking at the right list on the right day.

Warning without a next step

A bare reminder still leaves the renewal to organise: which training, booked where, by whom.

The follow-up is the real work

Not the first notice but the third chase-up is where hours go.

How it works in cimoio.aero

  1. The system watches every clock

Every qualification, competence and authorization carries its validity; the system tracks them all continuously. Thresholds (90/60/30 days — configurable) trigger without anyone opening a list.

  2. The right people hear it, in time

Notifications go to the employee, the supervisor and the responsible coordinator — role-based, via templates, escalating if nothing happens. Everyone acts on the same information.

  3. The renewal is attached to the warning

Because the system knows which training or assessment renews the expiring item, the notification carries the next step — assignable on the spot. Warning and remedy are one motion.
