Coordination overload with training providers
Every external course means the same loop: send the participants, chase the confirmations, handle the changes, collect the certificates. Multiply by every course, all year.

A training coordinator at a desk with two monitors — one showing an inbox, one a participant list — phone wedged at the ear, sticky notes on the monitor edge. Sympathetic, slightly wry realism (the "before"), not despair-staged. Office by the hangar, workwear.
BildvorschlagThe situation
Working with external training providers is unavoidable — and coordinating them by hand is where a training department's week disappears. Participant data goes out by email, in whatever format each provider expects. Status comes back — or doesn't: were the invitations sent? Who confirmed? Then reality hits the plan: a sick mechanic, a moved shift, a cancelled course — and the rebooking loop starts, one email at a time.
At the end, certificates have to make their way back: chased, checked and filed per participant. Between an organisation and a handful of providers, this loop runs continuously — and every manual pass can drop a name, a date or a document.
Why it keeps happening
Every provider speaks a different format
Lists, portals, mail threads: each relationship has its own ritual.
Status lives in inboxes
Who's invited, who confirmed, what changed — the answers are spread across mail threads, not a system.
Changes cascade by hand
One cancellation touches the provider, the participant, the plan and the record — four manual updates, four chances to miss one.
How cimoio.aero solves it
-
Participants go out structured — from the plan itself
The planned participants of a course are handed to the provider directly from the system — as structured exports (Excel/CSV) or automatically generated emails, in a consistent format, without retyping.
-
Status and changes flow back into the plan
Confirmations, invitation status and changes are recorded against the event — rebookings update participant, plan and provider hand-over in one step instead of four parallel emails.
-
Certificates come home into the record
Returning certificates land in the central intake, are matched to participant and qualification, and complete the loop — the course closes with its evidence attached, not with an open to-do list.
The functions behind it
Get the coordination week back
In a guided demo we run one of your provider courses end to end — hand-over, changes, certificates.

Proving compliance takes days
The question is always simple: who is authorized, since when, and on what basis? It's the answering that takes days — unless the answer is one click away.
-
Authorizations expire — or exist when they shouldn't
In a Part-145 organisation, only authorized staff may perform and release work. Every authorization that lapses unnoticed — or was granted without full backing — puts you in violation of aviation law.
